CONSTITUTION
ARTICLE I
NAME AND PURPOSE
The name of this organization shall be ________________________________ Chapter of the Oklahoma Anthropological Society.
This chapter shall be a non-profit organization, the purpose of which is to promote the preservation, study, display, and diffusion of information concerning archaeological and ethnological material in the State of Oklahoma, as detailed in the Constitution of the Oklahoma Anthropological Society.
ARTICLE II
MEMBERSHIP
Membership in this Chapter shall be open to paid-up members of the Oklahoma Anthropological Society, and their husbands and wives.
ARTICLE III
OFFICERS
The officers of this Chapter shall be a President, a Vice-President, and a Secretary-Treasurer. The duties of these officers shall be those ordinarily assigned to their respective offices.
Specific Duties included are:
President:
1. Shall serve yearly as an elected official, terms to run yearly
2. Open and close monthly meetings
3. Make arrangements to be represented if unable to attend a meeting.
4. Appoint a nominating committee at any meeting preceding the annual meeting.
5. Attend all annual meetings and special election meetings.
6. Attend all state board meetings representing the ________________Chapter.
Vice-President:
1. Shall serve as an elected official, terms to run yearly.
2. Fill in for the president in the event he/she cannot be at a meeting.
3. Mail regular monthly meeting invitations to all members of the chapter.
4. Write reports of progress of the _____________and submit to the O.A.S. for the quarterly journal.
5. Attend all annual meetings and special election meetings.
6. Attend all state board meetings representing the _____________chapter.
Secretary/Treasurer
1. Shall serve as an elected official, terms to run yearly.
2. Deposit any and all receipts from dues, fund raisers, donations, etc. at least weekly
3. Keep the chapter members informed of receipts, expenses, and balances of bank account.
4. Mail out notices of annual or special elections to all members
5. Get a copy of sign in sheets, and member’s names and addresses to the President in a timely manner.
6. Attend all annual meetings and special election meetings.
7. If unable to attend a meeting, he/she must notify one of the officers attending said meeting and request a report on actions taken at the meeting.
8. Make a copy of meeting minutes and send to the President.
Election of officers shall hereafter be held at an annual meeting on the _____________ in December.
The chapter shall have a board of directors of 7 members of the chapter.
The board will consist of:
1. President of the Chapter
2. Vice President of the chapter
3. Secretary/Treasurer of the Chapter
4. Four members elected by a majority of the members of the Chapter.
5. Terms will be for Two years.
There will be two board meetings a year of all board members for the purpose of any major decisions concerning the operation and well being of the Chapter, and events sponsored by the chapter. The president of the chapter will set up these meetings by notifying the board members in advance of the need for such meetings. In the event special meeting needs to be called it will be the President’s duty to contact all board members informing them of the need, time and place for the meeting.
ARTICLE IV
MEETINGS
This chapter shall normally meet on the ________________of each month.
ARTICLE V
FISCAL YEAR
The fiscal year of this Chapter shall run January 1st through December 30th.
ARTICLE VI
AMENDMENTS TO THE CONSTITUTION
Amendments to this Constitution may be adopted at any meeting of the chapter, by approval of two-thirds of the members present, subject to the following conditions
1. The proposed amendment must first be submitted in writing to the Secretary-Treasurer.
2. The Secretary-Treasurer shall mail copies of the proposed amendment, together with a definite announcement of the date of the meeting at which it shall be considered, to all members, at least thirty days in advance of said meeting.
BY-LAWS
ARTICLE I
DUES
The annual dues of this chapter shall be ________dollars per member, or _________dollars for a family membership.
Normal expenses, such as postage, and printed material will be paid from the chapter’s funds. Any other need for withdrawal of funds will be brought before the board of directors and be approved by a majority of the board’s vote.
ARTICLE II
NOMINATION OF OFFICERS
It shall be the duty of the President to appoint a nominating committee at any meeting preceding the annual meeting. This committee shall present its nominations for officers of the Chapter at the annual meeting, after which the meeting shall be open for further nominations from the floor. Election of officers shall be a majority of the members present at the annual meeting.
ARTICLE III
AMENDMENTS TO THE BY-LAWS
Amendments to the by-laws may be made by a simple majority of those members present at any meeting of the chapter.
It was moved, seconded, and approved that this Constitution and By-Laws be adopted.
